Generator Rental Software — RouteHouse
RouteHouse edition · Available now

Drop it, pin it, bill it right.

RouteHouse is generator rental software built around the drop. Your driver pins the unit on the satellite map at drop-off, so refuel and pickup trips go straight to it. When it comes back, the hour meter and fuel gauge do the billing.

The lead feature

The drop pin: navigate to the unit

The street address gets you to the farm, the job site or the festival grounds. It doesn’t get you to the generator. The driver who drops it does — once — and every trip after that goes straight there.

  • Pinned at drop-off. The phone takes a GPS fix and the driver drags the pin onto the unit on the satellite view.
  • With an access note. “Behind the pole barn, gate 4411.” The refuel driver reads it before he turns off the road.
  • Navigate to unit. Refuel and pickup drivers tap once and drive to the generator — not the street address.
  • Moved on site? Still found. Re-pin it and the old spot stays in the history.

Rental yard or dealer

Built for whoever owns the fleet

From a dealer with a handful of loaners to a regional yard with dozens of towables on rent through storm season.

Rental yard

Generators are the business

Towable and skid units out to construction sites, events, and homes and businesses during outages — on rent, refueled, swapped and brought back.

  • Availability by size for any date range, and a reservation in a couple of taps.
  • Every unit out, sorted by estimated fuel left — the storm-season view.
  • The bill works itself out from the hour meter, the fuel gauge and the calendar.
  • Hour-meter service intervals keep worn units off rent.
Dealer who also services

You service generators and keep a few to lend

Your customer’s unit is down and the power isn’t coming back today. A loaner goes out from the service job — and comes back billed right.

  • Choose Standby Power: it includes this rental fleet, so service and rental are one edition, not two.
  • The tech reserves a loaner for the address straight from the service job.
  • Delivery lands on today’s schedule, pickup on the end date.
  • Outage loaners are booked at 24 run hours a day, so the customer isn’t hit with overtime.
Built for generator fleets — not a generic rental calendar

The things generic rental apps get wrong for generators

Billing that does the math

Day, week and 4-week rates billed at the best combination automatically — a 6-day rental bills as a week when that’s cheaper. Run hours past the included shift (8 a day, 40 a week, 160 per 4 weeks) billed as overtime from the hour meter.

Fuel, refuels and the extras

Fuel to refill at return, every refuel delivery, accessories — cam-lok cables, distro panels, aux tanks, temporary transfer switches — and the damage waiver, added to the invoice when the unit comes back.

On rent, lowest fuel first

Every unit out, sorted by estimated fuel left — from run hours since the last fill and each size’s burn rate — with bill-to-date and a one-tap route to the units that need fuel first. The storm-season view.

Reservations and availability

See how many of each size are free for a date range, reserve one, and the delivery and pickup jobs land on the schedule. Rentals ending show up on the Due & Renewals list to extend or re-book.

Swaps that bill right

Swap a unit mid-rental and the hours and fuel of both machines are billed — not just the one that came back.

Hour-meter maintenance on your own fleet

Every return logs the hours. A unit past its service interval — 250 hours by default, adjustable — goes to “needs service” instead of back out on rent.

Condition on the record

A condition checklist and photos at drop-off and at return, time-stamped on the rental — so a damage claim is a document, not an argument.

Offline, install-free & bilingual

Works with no signal on a job site or a back forty, installs from a link (no app store needed), and runs in English or Español.

Customer pays by card

The return bill becomes an invoice with a pay link by email or text. Connect your own Stripe account — customers pay by card and the money goes straight to your bank.

New · more than generators

Rent the rest of the yard too

Light towers, pumps, compressors, heaters, tanks and shoring, on the same day / week / 4-week rates and the same drop pin.

Your plan’s fleet limit counts every rental unit, not just generators.

  1. Light towers, pumps, air compressors, heaters, tanks (frac tanks too) and trench shoring — each with its own drop-off and return checklist.
  2. No hour meter? Run-hour overtime is skipped for that unit.
  3. No fuel tank? Fuel billing and refuels are skipped.
A rental, start to finish

What a rental looks like on the app

1

Reserve

Check what’s free in that size for the dates, reserve a unit, and the delivery and pickup land on the schedule.

2

Deliver and pin

The driver hooks up, photographs the condition, logs the hour meter and fuel, and pins the unit on the satellite view with an access note.

3

Keep it running

The on-rent board sorts every unit by estimated fuel left. Refuel drivers tap Navigate to unit and each refuel lands on the bill.

4

Pick up and bill

Hour meter, fuel and condition at return — the best rate, overtime, fuel and extras are worked out, and the invoice goes out with a pay link.

Works on any internet-connected phone, tablet or computer — iPhone or Android — right in the browser. Watch it work

Two minutes beats two pages of copy

Unedited screen recordings of the live app — the schedule your crew works from, and the office side you run the business on.

Septic pictured. Every trade runs the same app with its own form template, checklist and price list — on Generator Rental you’d see your fleet, the drop pin and the return bill, not septic’s.

A day on the schedule

Septic, grease trap and drain jobs from the morning route through the “on my way” text — weather, crew, addresses and job notes all in one screen.

1 min 43 sec

Customers, properties, commissions and CSV exports — the admin work that usually lives in someone’s spreadsheet, running off the same records as the field app.

Beyond the truck

Fill the schedule, and get paid faster

The field app runs the visit. This side grows the business — booking, billing, texting and the integrations crews ask for most. It's all live today.

Time clock Growth & Pro

Crews clock in from the truck — their own phone or a shared tablet, even with no signal. GPS on every punch, overtime figured for you, and a payroll-ready export at the end of the week. See how it works →

Contract & after-hours rates

Give contract customers their own prices and minimums — their work orders use them automatically. Set your business hours and a multiplier, and after-hours hourly work gets the premium line on the invoice.

Customer sign-off on reports

The customer signs on the tablet; the signature prints on the report.

Emergency Call quick dispatch

Take the call, pick the truck that can do it and is on the clock, and send it — in under a minute.

Job costing Growth & Pro

See labor, materials and disposal against what you billed, and clocked hours that never made the invoice. Labor comes from the Time Clock.

Weather-aware scheduling Pro

Never send a crew into a washout. A 7-day forecast sits on your schedule and flags the days that put weather-sensitive work at risk — and each tech sees that risk on his own jobs. For generator rental that means storm days flagged ahead of time, so you know when the fleet is about to go out and which refuel runs to plan.

Calendar sync Pro

Your whole schedule in Google, Apple or Outlook — plus a private per-tech link so each person sees only his own route, nobody else's.

Website lead capture Pro

Turn your site into a booking engine. Use a hosted request page or embed it on your own site — requests land right in your schedule and convert to a job or quote in one tap, with address autocomplete and an optional auto-text confirmation.

Business texting

Text from your own registered business number — “on my way” notes, reminders and a two-way message center with replies and a chime, plus automatic STOP opt-outs handled for you.

Online card payments

Connect your own Stripe account — customers pay by card and the money goes straight to your bank. Send a secure “Pay this invoice” link by email or text; paid and owing reconcile themselves, with an optional cash discount if you'd rather steer customers off cards.

Quotes & estimates

Branded, line-item estimates sent by email or text. Track what's been sent, and turn a won quote into a scheduled job in one tap — no re-typing.

QuickBooks Online

Push invoices straight to QuickBooks — no CSV in the middle. Run it by hand or set it automatic on a daily or weekly schedule, with tax-mismatch review flags before anything posts.

Recurring-service forecast

The service-due pipeline puts a dollar figure on your repeat work — this month out to five years — so you can see the revenue coming and rebook a customer in one tap.For generator rental that means rentals ending and long-term units coming due, forecast as money on the calendar so you can extend or re-book.

Follow-up leads

Any report that flags a problem becomes a bookable repair lead — nothing that needs a return visit slips through the cracks, and the work is already scoped. For generator rental that means a unit that comes back damaged or past its service interval, raised for the shop instead of sent back out.

Works anywhere you operate

Never miss a call

Rental calls come in when the power goes out — all at once. The RouteHouse Phone Assistant answers every call, just the ones you miss, or only after hours — your choice — and drops a ready-to-schedule request in your Requests box. Urgent calls are flagged 🚨 and can ring straight through to you.

Keep your number. Per-company add-on, works with any plan.

Call and hear “Tammy” now · (779) 278-8911

Demo line — the call ends after about 20 seconds, just long enough for a short intro. Your normal call rates apply. “Tammy” is just our demo: name your assistant anything you like, with a male or female voice in a range of accents to match your business.

See how the Phone Assistant works →
  1. It answers. A friendly, named assistant picks up like your front desk.
  2. It asks the right questions. Name, address, what they need, how urgent, gate codes and dogs.
  3. It lands on your schedule. Call summary and transcript in your Requests box — one tap turns it into a job or quote, for you to confirm.

Questions

Generator rental software, answered

  • What is generator rental software? It runs a numbered rental fleet from reservation to return. RouteHouse shows which units are free for a date range, puts the delivery and pickup on the schedule, has the driver pin the unit on a satellite map at drop-off, and works out the bill when it comes back — day, week and 4-week rates, run-hour overtime from the hour meter, fuel, refuels, accessories and the damage waiver.
  • How does the drop pin work? At delivery the phone takes a GPS fix and the driver drags the pin onto the unit on the satellite view, with an access note like “behind the pole barn, gate 4411”. Refuel and pickup drivers tap Navigate to unit and drive to the generator, not the street address. If the unit gets moved on site, the old spot stays in the history. The pin is placed by the driver — it isn’t a live GPS tracker on the unit.
  • How is a rental billed? Day, week and 4-week rates are billed at the best combination automatically — a 6-day rental bills as a week when that’s cheaper. Run hours past the included shift (8 a day, 40 a week, 160 per 4 weeks) bill as overtime from the hour meter. Fuel to refill at return, every refuel delivery, accessories and the damage waiver are added when the unit comes back. Swap a unit mid-rental and both machines’ hours and fuel are billed.
  • How many rental units can I run on RouteHouse? Each plan includes a rental fleet: up to 5 rental units on Solo, 25 on Growth and 75 on Pro. Larger fleets are quoted — talk to us. Plans are priced per truck with unlimited users.
  • Does it handle maintenance on my own fleet? Yes — every return logs the hours, and a unit past its service interval (250 hours by default, adjustable) goes to “needs service” instead of back out on rent. Condition checklists and photos at drop-off and return keep damage claims on the record.
  • Can I service customer generators too? Then choose Standby Power instead of Generator Rental. Standby Power is the generator service edition, and every plan includes this same rental fleet — 5, 25 or 75 rental units — so a dealer gets service and rental in one edition. You never need both.
