The lead feature

Jobs that run as long as the dig does

A hydrovac job isn’t one stop. Six crossings, a long daylighting run or a slot trench can take the crew three days — so in RouteHouse the job stays open until the work is done, and every day on site is on the record.

  • Arrive, End Day, Finish. The crew taps Arrive on site and End Day when they leave — the job stays open and comes back on tomorrow’s schedule. Finish closes it when the last hole’s done.
  • Each day keeps its own record — time on site and who was on the crew.
  • Quantities tallied each day — truck hours, standby, holes and loads — and the invoice adds the days up.
  • The report prints every project day, so the general contractor or the utility sees exactly what each day was for.

Two jobs, same app

From a two-day potholing job to the main break at 2pm

For hydrovac and air-vac contractors working for general contractors, utilities, telecom and fiber builders, and municipalities.

6:40amPotholing

Six crossings on a new water-main alignment. Day one: four holes, 7.5 truck hours, two loads to the landfill. The bore crew’s late — 1.5 hours of standby, on the ticket. Day two picks up where it left off; the invoice adds both days.

2:15pmEmergency callout

A main’s let go and the district needs it daylighted now. Emergency Call: type the caller’s number, the customer and address fill in, and the trucks are ranked for the job — can dig, crew on the clock, fewest open jobs today. One tap and it’s on the crew’s list, flagged red.

Bill it the way you quote it

Every job is a line-item work order. Truck and operator by the hour, the extra hands, the waiting, the drive and the spoil — the lines you already quote are the lines on the invoice.

  • Standard lines: truck + operator by the hour, extra laborers, standby / wait time, mobilization, mileage, flat-rate test holes, spoil disposal per load, water, backfill and materials.
  • The callout minimum, applied for you. Set it once (say, 4 hours) and it’s billed automatically when the hours come in short.
  • Tallied each day, added up on the invoice — nobody re-adds field tickets at the end of the week.
  • Your rates, not ours. A starter price list is loaded; every shop sets its own. Truck + operator hourly billing is on every plan; billing extra machines by the hour is on Growth and Pro.
  • Contract and after-hours rates. Give a contract customer its own rate sheet (“City of Rockford 2026”) and its work orders use it automatically. Set your business hours and a multiplier, and after-hours hourly work gets the premium line — judged day by day on a multi-day job.
811 / one-call tickets

The locate ticket, on every dig job

Ticket number, one-call center, legal dig start, expiry, positive response, utilities marked and locate notes — on the job, in front of the crew, and watched by the schedule.

  • Read straight from the ticket email. Paste the 811 confirmation emails (or drop the saved emails) and RouteHouse reads the ticket number, center, legal start, expiry, dig-site address and the members notified, matches each ticket to its job by ticket number or address, and shows a preview before it saves.
  • The schedule warns you. A job with no ticket, a job booked before the legal start, or a job that runs past the ticket’s expiry is flagged on its schedule chip.
  • Notified vs. marked. The ticket card lists the members notified and flags any utility on the ticket that hasn’t been marked yet.
  • In the field, too. “Paste 811 ticket email” fills the job’s ticket from the crew’s phone.

RouteHouse reads your 811 ticket emails. It doesn’t file, renew or close tickets with a one-call center, and the crew records the positive response.

The record the customer pays for

Hole by hole, signed every day

What you found, where you dumped it and who signed for the day — logged on site and printed on the work order.

  • Excavation log. Each hole gets an ID, a GPS pin, depth and size, the utility found (type, material, size, depth to top), backfill and restoration, with before / exposed / backfilled photos. It prints on the work order and the photos go on the PDF.
  • Signed daily field tickets. At End Day and Finish the operator shows the customer’s foreman today’s hours and tallies and gets a signature on the tablet — even with no signal. Each day’s signature prints on the work order.
  • Spoil disposal tied to the invoice. Each load records volume, dump site, disposal ticket number and photo, and cost — added to the work order as a pass-through or with your markup.

The right truck on the right job

Every truck carries its type and whether it can dig. Excavation work is only offered to trucks that can — so a jetter never gets sent to a potholing job.

  • Truck types for Hydrovac, Air-vac, Combo (vac + jetter) and Jetter, plus a “can hydro / air excavate” flag.
  • Dig jobs go to dig trucks. Vac cleanouts and debris removal can go to any vac truck.
  • Works with whatever you run — Vactor, Vac-Con, Super Products, Tornado, Vacall or anything else on the lot.

Built for hydro excavation — not a generic job logger

The things generic field apps get wrong for hydrovac work

Multi-day jobs

Arrive, End Day, Finish. The job comes back on tomorrow’s schedule until it’s done, with each day’s time on site, crew and tallies kept — not one stop per visit.

Truck hours and the callout minimum

Truck + operator by the hour, with your callout minimum applied automatically when the hours come in short. Standby, mobilization, mileage and spoil loads are standard lines.

Trucks matched by capability

Hydrovac, Air-vac, Combo and Jetter truck types and a “can hydro / air excavate” flag. Dig trucks only on dig jobs; vac cleanouts to any vac truck.

Job types the trade uses

Potholing / test holes, daylighting, slot trenching, general excavation, vac cleanout / debris removal, emergency callout and estimate / quote. Outcomes include held on standby (customer delay) and stopped — locate / ticket issue, so the record shows why a day ran short.

Emergency call to dispatched truck in under a minute

The red Emergency Call button: type the caller’s phone and the customer and address fill in, pick the job type, and pick from trucks ranked for the job — ones that can dig, crew on the clock, fewest open jobs today. One tap books it and sends it, flagged red on the schedule, the map and the crew’s list. With the Phone Assistant add-on, main breaks, utility strikes and stopped crews are recognized as urgent the moment they call.

Deposits and progress billing

Bill long jobs as they go: a deposit up front, then progress invoices from the work tallied to date or % complete, reviewed weekly, every two weeks or monthly. The final invoice bills the balance.

Pin it on the map

Save GPS pins for test holes, utility markings, spoil staging, water fill points and truck parking, so the next crew drives to the spot — not just the street address.

The customer knows you’re there

Optional “crew has arrived” and “crew has left for the day” texts to the customer, from your own business number — so the GC isn’t calling to ask.

A work order with every project day

Quotes become jobs, jobs become a branded PDF work order and invoice. The PDF prints every project day, with its time on site, crew and quantities.

Offline, install-free & bilingual

Works with no signal on a right-of-way miles from town, installs from a link (no app store needed), and runs in English or Español.

Paid by card, synced to QuickBooks

Connect your own Stripe account — customers pay the invoice by card from a link and the money goes straight to your bank. QuickBooks sync when you want it.

A job, start to finish

What a dig looks like on the app

1

Book and dispatch

The office books the job with its type — potholing, daylighting, slot trench — and it’s offered only to trucks that can dig. Emergency? It’s flagged red.

2

Arrive

The crew taps Arrive and the clock starts on site. The customer can get a “crew has arrived” text, and the pins show where the holes and the markings are.

3

Log the day

Truck hours, laborers, standby, holes, loads and water go on as they happen. End Day — the job comes back on tomorrow’s schedule.

4

Finish and bill

Finish closes the job. The PDF work order prints every project day, and the invoice adds them up — or bill progress along the way.

Works on any internet-connected phone, tablet or computer — iPhone or Android — right in the browser. One step further: the RouteHouse app for iPhone and iPad adds deeper integration with your device, including notifications for new jobs and schedule changes (coming soon to the App Store). Contract & after-hours rates

Give contract customers their own prices and minimums — their work orders use them automatically. Set your business hours and a multiplier, and after-hours hourly work gets the premium line on the invoice.

Customer sign-off on reports

The customer signs on the tablet; the signature prints on the report.

Emergency Call quick dispatch

Take the call, pick the truck that can do it and is on the clock, and send it — in under a minute.

Job costing Growth & Pro

See labor, materials and disposal against what you billed, and clocked hours that never made the invoice. Labor comes from the Time Clock.

Weather-aware scheduling Pro

Never send a crew into a washout. A 7-day forecast sits on your schedule and flags the days that put weather-sensitive work at risk — and each tech sees that risk on his own jobs.

Calendar sync Pro

Your whole schedule in Google, Apple or Outlook — plus a private per-tech link so each person sees only his own route, nobody else's.

Website lead capture Pro

Turn your site into a booking engine. Use a hosted request page or embed it on your own site — requests land right in your schedule and convert to a job or quote in one tap, with address autocomplete and an optional auto-text confirmation.

Business texting

Text from your own registered business number — “on my way” notes, reminders and a two-way message center with replies and a chime, plus automatic STOP opt-outs handled for you.

Online card payments

Connect your own Stripe account — customers pay by card and the money goes straight to your bank. Send a secure “Pay this invoice” link by email or text; paid and owing reconcile themselves, with an optional cash discount if you'd rather steer customers off cards.

Quotes & estimates

Branded, line-item estimates sent by email or text. Track what's been sent, and turn a won quote into a scheduled job in one tap — no re-typing.

QuickBooks Online

Push invoices straight to QuickBooks — no CSV in the middle. Run it by hand or set it automatic on a daily or weekly schedule, with tax-mismatch review flags before anything posts.

Recurring-service forecast

The service-due pipeline puts a dollar figure on your repeat work — this month out to five years — so you can see the revenue coming and rebook a customer in one tap.For hydro excavation that means repeat vac cleanouts for your regular customers, forecast as money on the calendar.

Follow-up leads

Any report that flags a problem becomes a bookable repair lead — nothing that needs a return visit slips through the cracks, and the work is already scoped. For hydro excavation that means extra holes or a cleanout the crew spotted on site, raised from the report and quoted by the office.

Never miss a call

A main break comes in while every truck is already on a dig. The RouteHouse Phone Assistant answers every call, just the ones you miss, or only after hours — your choice — and drops a ready-to-schedule request in your Requests box. Questions

Hydro excavation software, answered

  • What is hydro excavation software? It runs the office and field side of a hydrovac or air-vac excavation company. RouteHouse books potholing, daylighting, slot trenching and vac cleanout jobs, offers them only to trucks that can dig, tracks the 811 ticket, lets the crew log each day on site with a signed field ticket, and turns truck hours, standby, mileage and spoil loads into a line-item invoice with your callout minimum applied.
  • Can one job run over several days? Yes. The crew taps Arrive on site and End Day when they leave; the job stays open and comes back on the next day’s schedule. Finish closes it. Each day keeps its own time on site, crew and quantities, the invoice adds the days up, and the PDF work order prints every project day.
  • How does it bill truck hours and the callout minimum? Every job is a time-and-materials work order: truck and operator by the hour, extra laborers, standby or wait time, mobilization, mileage, flat-rate test holes, spoil disposal per load, water, backfill and materials. Set a callout minimum, such as 4 hours, and it is applied automatically when the hours come in short. Contract customers can have their own rate sheet, and once you set your business hours and a multiplier, after-hours hourly work gets the premium line automatically.
  • Does RouteHouse track 811 locate tickets? Yes. Each dig job carries its ticket: number, one-call center, legal dig start, expiry, positive response, utilities marked and notes. Paste the ticket confirmation emails and RouteHouse reads them and matches each ticket to its job. The schedule warns when a job has no ticket, is booked before the legal start, or runs past the expiry. RouteHouse reads your ticket emails; it does not file, renew or close tickets with a one-call center, and the crew records the positive response.
  • Can the customer’s foreman sign the daily field ticket? Yes. At End Day and Finish the operator shows the foreman that day’s hours and tallies and gets a signature on the tablet, even with no signal. Each day’s signature prints on the work order, alongside the hole-by-hole excavation log and its photos.
  • Can I bill a long job as it goes? Yes. Take a deposit up front, then send progress invoices from the work tallied to date or by percent complete, on a weekly, every-two-weeks or monthly review cadence. The final invoice bills the balance. On Pro, Industrial & Municipal adds retainage on progress invoices and a release-retainage invoice when the work is accepted.
  • Does it handle municipal paperwork like POs, retainage and certified payroll? On Pro, yes. Industrial & Municipal adds PO numbers, not-to-exceed contracts with a warning at 80%, retainage, insurance certificates per customer, and certified payroll for prevailing-wage jobs built from Time Clock hours in the WH-347 layout. It is not available on Solo or Growth, and RouteHouse does not submit payroll to any agency.
  • Does it work with Vactor, Vac-Con, Super Products, Tornado and Vacall trucks? It works with whatever you run. Each truck is set up with its type (Hydrovac, Air-vac, Combo or Jetter) and whether it can hydro or air excavate. RouteHouse does not connect to the truck itself and is not a manufacturer partner.
  • Can I run sewer jetting and CCTV on the same account? Yes. Combo-truck operators can put Sewer & Drain and Hydro Excavation on one account: one login, one customer book, one set of trucks and one subscription. One more trade is free with your plan, and each trade after that is 40% off.
  • How much does RouteHouse cost for a hydro excavation company? It’s priced by the truck, not per user: from $99 per truck per month billed annually ($1,190 per truck per year) on Solo, with Growth and Pro above it and a quoted Fleet tier for larger operations. Unlimited office staff and crew on every plan. Job costing is on Growth and Pro; Industrial & Municipal is included on Pro.
  • Can customers pay by card? Yes. Connect your own Stripe account: customers pay by card from the invoice link and the money goes straight to your bank on your Stripe payout schedule. If you already use Stripe, connect that account. Stripe’s processing fees show on your own Stripe statement.
